1. About this app
The Stars Supporting Stars (S3) app is a tablet-friendly digital tool used by school counselors and student peer mentors to record short daily check-ins as part of the S3 peer mentorship program. The app replaces the program's paper "star log" folders.
2. Who this notice applies to
- School counselors and administrators who sign in to the app to manage rosters, rounds, and dashboards.
- Mentor students who use a tablet (under school counselor supervision) to record a daily check-in for their assigned mentee.
- Mentee students, whose attendance and emotional well-being indicators are recorded by the mentor on their behalf. Mentees do not interact with the app directly.
3. Information we collect
School counselor & administrator accounts
- Name, email, and (optionally) phone number
- School affiliation and role (school counselor, school administrator, school IT administrator, or platform administrator)
- Authentication metadata (last sign-in time, password reset events)
Student information
- Student identifier number (assigned by the school; full names are not displayed on the mentor tablet)
- Grade, gender, and (optionally) ethnicity, preferred language, and cohort year
- Mentor or mentee role and pairing assignments
Daily check-in data
- Attendance (Present or Absent)
- Zones of Regulation color (Blue, Green, Yellow, Red)
- Coping strategy offered (optional short text)
- School counselor follow-up flag
- Optional notes recorded by the mentor
4. How information is used
Information collected through the app is used solely to operate the S3 program: to give school counselors real-time visibility into attendance and emotional well-being trends, to identify students who may need additional school counselor support, and to track program participation across rounds. Information is not used for advertising, sold, or shared with third parties for unrelated purposes.
5. FERPA / student data
Student records handled by this app are educational records under the Family Educational Rights and Privacy Act (FERPA, 20 U.S.C. § 1232g). The app is operated as a "school official" service of the participating school or district, with a legitimate educational interest in the program data. Data access is restricted to authorized school personnel. Specific FERPA disclosure language is set in coordination with the participating district.
6. Multi-tenant data separation
Each participating school is a separate tenant. School counselors and administrators at one school cannot view, export, or otherwise access data belonging to another school. School affiliation is enforced on every database query in the application.
7. Data retention
Active rosters, rounds, and check-in records are retained for the duration of the school year and may be kept for additional school years for trend analysis, in line with each participating district's records-retention policy. Audit log entries are retained for two (2) years. Soft-deleted rounds are permanently purged after sixty (60) days.
8. Security
- All traffic is encrypted in transit (HTTPS/TLS).
- Passwords are hashed and never stored in plaintext.
- Access to administrative functions is restricted by role.
- An audit log records changes to roster, rounds, and account state.
No system can be guaranteed 100% secure. Suspected security issues should be reported to the email address listed under "Contact" below.
9. Your rights
Parents and eligible students have rights under FERPA to inspect and review education records, request amendments, and consent to disclosures. To exercise these rights, contact the school counselor running the S3 program at your child's school. The full statement of rights applicable to your child's school is published by the participating district.
10. Children's privacy
The app is operated as part of an educational program at participating K–5 schools. It is not a consumer product and is not directed at the general public. Use of the app by mentee or mentor students is conducted under direct school supervision in accordance with the school's existing parent/guardian consent processes for the S3 program.
11. Disclaimer
The app is provided as a workflow tool for the S3 program. It does not provide medical, psychological, or counseling advice, and it is not a substitute for professional judgment by a licensed counselor or other qualified professional. School counselors are responsible for reviewing flagged check-ins and following their school's established procedures for student welfare.
12. Changes to this notice
We may update this notice from time to time. The "Last updated" date at the top of this page reflects the most recent change. Material changes will be communicated to participating schools.
